Send an invoice, get paid by card, and let reminders do the chasing

Getting paid should be the easy part of a job, but for many small businesses it is the slowest. Invoices go out late, checks sit in a truck, and nobody has time to send a polite reminder. A CRM with online payment links fixes that by putting the invoice, the pay button and the follow up on the same record as the job. In Dheed, you send an invoice in a click, the customer pays by card from their phone, and reminders and receipts go out on their own.

How a payment works in Dheed

  1. Create the invoice. Build it from a completed job, from a signed estimate with the same total, or from scratch.
  2. Send it. Email it from your business mailbox, or copy the invoice pay link and send it in a text.
  3. The customer pays. They open the invoice page on any phone or computer and press Pay. Card payments go through Stripe.
  4. Dheed records it. The online payment is recorded once from Stripe, the invoice moves to paid or partly paid, and a receipt can go out.
  5. Reports update. Collected revenue, unpaid balances and overdue invoices show on the dashboard and in reports.

Invoices can be draft, sent, partly paid, paid, overdue or void. Drafts can be deleted. Sent invoices are voided rather than deleted, so your records stay complete.

Fees, stated plainly

You connect Stripe from Settings, Payments, and money goes straight to your own Stripe account. Dheed never stores your Stripe keys. Every online card payment carries two fees:

  • Stripe's processing fee, set by Stripe.
  • A Dheed platform fee: 1% on Free and Starter, 0.5% on Pro and 0.25% on Business.

Plans are $0 Free, $29 Starter, $79 Pro and $149 Business a month. If you take a lot of card payments, a higher plan can lower the Dheed fee, so it is worth doing the math on your monthly card volume. Payments recorded by hand, such as cash, check, bank transfer or Zelle, carry no Dheed fee because no card is processed. Refunds are handled in your Stripe dashboard.

Automated payment reminders for service businesses

Automated payment reminders for service businesses are the part most owners mean to do and never get to. Dheed's Overdue invoice reminders recipe emails the customer 3, 7 and 14 days after the due date. Before each email, Dheed checks that the invoice is still open, so a customer who paid yesterday does not get a reminder today. The Payment receipt recipe sends a thank you and receipt as soon as an invoice is paid.

You can build your own too. For example, when an invoice is 30 days overdue, create a call task for the owner with a high priority. With the business texting add-on, reminders can also go out by text to customers who agreed to texts. Read more on automated payment reminders and marketing automation.

Customer management software with payment links

Payments are not a separate app in Dheed. They sit on the customer timeline next to calls, texts, estimates and jobs. That makes Dheed customer management software with payment links: when a customer calls about a bill, you see what they were quoted, what was done and what they paid in one place.

With the client portal turned on, customers can sign in to see invoices to pay and printable receipts for past payments.

Sales tax on the right amount

Automatic sales tax looks up the rate for the job address. It is included on Pro and Business and is a $15 a month add-on on Free and Starter. Tax is applied to the taxable amount after discounts. You can also enter rates by hand.

Why a CRM with online payment links beats a separate invoicing app

When invoicing lives in its own app, someone retypes the job, the customer and the amount, and the follow up depends on memory. In Dheed, the signed estimate becomes the job, the job becomes the invoice, and the payment closes the loop. See invoicing and estimates for the quote side.

Payments are on every plan of the all-in-one business platform. See plans and pricing for the fee on each plan, or start free.

Frequently asked questions

How much does Dheed charge on card payments?

Card payments carry Stripe's processing fee plus a Dheed platform fee: 1% on Free and Starter, 0.5% on Pro and 0.25% on Business. The Dheed fee is taken as part of the Stripe payment, and the rest goes to your own Stripe account.

Where does the money go when a customer pays an invoice?

When you use Dheed as your CRM with online payment links, the money goes into your own Stripe account. You connect Stripe from Settings, Payments, and Dheed never stores your Stripe keys. Payouts to your bank follow your Stripe settings.

Can Dheed send automatic payment reminders?

Yes. The Overdue invoice reminders recipe emails the customer 3, 7 and 14 days after the due date and stops as soon as the invoice is paid. The Payment receipt recipe thanks the customer when they pay.

Can I record cash and check payments too?

Yes. Payments can be recorded by hand as cash, check, bank transfer, Zelle, a card on another processor or other. Recorded payments count toward the invoice balance and show in your reports.

Can I take a deposit before a job starts?

Yes. From a job you can send a deposit invoice as a percentage of the total. When the work is done, the final invoice credits the deposit after tax. Customers can also pay part of any invoice, which Dheed tracks as partly paid.
