Quote it, do it, get paid, in one flow

Retyping a quote into an invoice is where mistakes and late payments start. An estimate and invoice app for contractors should carry the job from the first price to the final payment without you copying a single line. In Dheed, the estimate becomes the job, the job becomes the invoice, and the payment marks it paid. Everything sits on the same customer record, so you always know what was promised and what is still owed.

How the estimate and invoice app for contractors works

  1. Build the estimate from your price book of services, materials and fees.
  2. Add up to three options, Good, Better and Best, each with its own discount.
  3. Set the tax with the rate for the job address, applied to the discounted taxable amount.
  4. Send it by your business email or copy a link to text.
  5. The customer picks an option and signs on any phone.
  6. Approval wins the deal and creates the job, and you get notified.
  7. Invoice from the job in a click, then get paid by card or record cash and checks.

Need to change something after the customer asks? Duplicate the estimate to revise it and keep the original on file.

Contractor estimate software with options that help customers choose

Offering good better best estimates gives customers a choice instead of a yes or no. A water heater quote might show a repair, a standard replacement and a high efficiency replacement. Each option has its own lines and its own total, and the customer chooses on the signing page. Our guide on how to write a contractor estimate includes a sample layout you can copy.

The signing page uses real e-signature for estimates: name, an agreement checkbox and a drawn signature. Dheed keeps the signed copy with a SHA-256 hash, the IP address and browser, so you have a record if questions come up later.

Invoices, deposits and partial payments

Invoices can start from a job, from a signed estimate with the same total that was signed, or from scratch. Common setups:

  • Invoice deposits: bill a percentage up front. The deposit is credited after tax on the final invoice.
  • Partial payments: invoices show partial, paid or overdue on their own.
  • Void, not delete: sent invoices are voided and kept, so your records stay complete.

Automatic sales tax for invoices uses the address to look up the rate. It is included on Pro and Business and $15 a month on Free and Starter.

Getting paid online

Online card payments for contractors go straight to your own Stripe account through Stripe Connect. Dheed never stores your Stripe keys. Each card payment carries Stripe's fee plus a Dheed platform fee: 1% on Free and Starter, 0.5% on Pro and 0.25% on Business. You can also record cash, check, bank transfer, Zelle or a card taken on another processor by hand.

Customers find their estimates to sign and invoices to pay in the customer portal for service businesses, and receipts go out when an invoice is paid if you turn on the payment receipt recipe.

Follow up and reports

Automations can email an estimate follow up and then create a call task, and send overdue invoice reminders at 3, 7 and 14 days. Reports show money collected per month, invoiced, unpaid and overdue amounts, unpaid by age and your estimate win rate.

This flow fits any trade that quotes before it works, from roofing CRM software to handyman business software. It is one part of Dheed's CRM for service businesses, so the same record also holds calls, texts and the schedule.

A quick checklist before you send your first estimate

Frequently asked questions

Can customers sign estimates on their phone?

Yes. You send the estimate by email or copy a link. The customer opens a page with your estimate, types their name, checks the agreement box and draws a signature with a finger. Dheed keeps a signed copy with a security hash, the IP address and browser.

How do I take a deposit before starting a job?

Create an invoice from the job for a deposit percentage. When you send the final invoice, the deposit is credited after tax, so the customer only pays the balance.

What fees apply when customers pay by card?

Card payments go to your own Stripe account and carry Stripe's processing fee plus a Dheed platform fee by plan, 1% on Free and Starter, 0.5% on Pro and 0.25% on Business. Payments you record by hand, like cash, check or Zelle, have no Dheed fee.

Does Dheed calculate sales tax for me?

Dheed can look up the sales tax rate for the job address. Automatic sales tax is included on Pro and Business and is a $15 a month add-on on Free and Starter.

Can I send reminders for unsigned estimates and late invoices?

Yes. Automations include recipes for estimate follow up and overdue invoice reminders at 3, 7 and 14 days. They stop as soon as the customer signs or pays.
